Now — how many of their institutional business cards are still out there, in wallets and drawers, speaking in the company’s name?

Access offboarding is already routine in any IT department: email cut, VPN revoked, laptop returned. Contact offboarding exists almost nowhere — because with paper it is literally impossible. The card was handed out; it doesn’t come back.

What happens today (and why it’s worse than it looks)

The former employee moves to a competitor. The old client, who kept the paper card, calls the number on it — which now answers at another company. Or the contact dies in a bounced email, and the client concludes the company disappeared. In both scenarios, the company built the business relationship; chance decides who keeps it — or loses it.

Offboarding with a destination: revoking is not enough

With managed cards, the moment of departure has two options, and the difference matters:

Revoke — the card goes quiet. Whoever taps it sees a neutral organization page with the general contact. It’s the dignified minimum: never a 404 with your logo on it.

Forward — old taps land on the function’s successor: “Ana is no longer with the company. Talk to João” — with João’s vCard one tap away. The business relationship survives the departure, because the card belongs to the function, not the person.

It’s the difference between locking a door and leaving a note on it. We describe the full cycle in for teams.

Function cards: offboarding by design

For positions with rotation — reception, regional sales, event teams — the right shape is the card that never had an owner: the plastic says “Sales North” and the company identity, and the holder changes behind it without reprinting anything. The position can even sit vacant: the page shows the unit’s general contact until there’s an occupant. Zero orphan cards, by construction.

The contact-offboarding checklist

To add to your company’s leaver process: revoke or forward the card on the contract’s last day; verify the old vCard is no longer downloadable; confirm the destination of future taps (successor or neutral page); and log the change. With the right platform it’s two clicks; without it, it’s a standing risk with your logo printed on it.

Does your team change? Talk to us — the cards follow the org chart, not the drawer.

The institutional card of someone who left keeps speaking for the company.
